Income and expense tracker for a cleaning business
Many small cleaning businesses know roughly what came in last month but not what it cost to earn it. A simple income and expense tracker shows your real net and makes tax time much less stressful. This guide is about record keeping, not tax or accounting advice. Ask a local accountant about what you need to keep.
What to record for each entry
- Date
- Type: income or expense
- Category (see below)
- Description: client name, store or what it was for
- Amount
Common categories for cleaning businesses
- Income: recurring cleans, one-time and deep cleans, move-out cleans, add-ons.
- Expenses: cleaning supplies, equipment, fuel and vehicle costs, insurance, phone and software, marketing (flyers, ads), and wages if you have help.
Keep the list short. A few categories you use consistently beat a long list you never sort.
Read your net every month
Total income minus total expenses is your net. Watch it month to month. If income grows but net doesn't, your costs are rising faster than your prices, which is a sign to review your rates.
Habits that make it painless
- Enter expenses when you buy, and keep the receipt (a phone photo works).
- Log payments when they land, not when you invoice.
- Keep business and personal spending separate, ideally in a separate account.
- Spend ten minutes at month end checking totals.
Track the jobs themselves in a job tracker spreadsheet, and use your net to sanity-check your pricing.
The Cleaning Business Starter Kit has an Income & Expenses tab (Date, Type, Category, Description, Amount) that totals income, expenses and net automatically, next to a Job Tracker and a quote calculator. It is a spreadsheet tool, not financial or tax advice.

FAQ
Do I need accounting software for a small cleaning business?
Not necessarily. Many solo cleaners start with a spreadsheet. As you grow or hire, ask an accountant whether software would help.
What expenses should a cleaning business track?
Supplies, equipment, fuel and vehicle costs, insurance, phone and software, marketing, and wages if you have help. Keep receipts for each one.
How often should I update my income and expense tracker?
Ideally as things happen, with a short review at the end of each month to check your totals and net.
