Cleaning business text message templates
Most cleaning clients would rather text than call. Good text templates let you reply quickly and sound professional, and every client gets the same clear information. Below are templates for the messages cleaning businesses send most often. Replace the brackets with your details and keep them short.
1. Replying to a new inquiry
Hi [Name], thanks for reaching out to [Business]! To give you a quote, could you share: your address or zip code, number of bedrooms and bathrooms, and whether you're looking for a one-time or recurring clean? - [Your name]
Note: Ask only for what you need to quote. Asking too much in the first message slows down replies.
2. Sending a quote
Hi [Name], based on [beds/baths, service type], your quote is $[amount] per visit. That includes [short scope or "everything on the attached checklist"]. Would you like to book? I have openings on [day] and [day].
Note: Offering two specific times gets a faster answer than "when works for you?"
3. Booking confirmation
You're booked! [Business] will be there [day, date] at [time]. Please let us know about entry instructions or pets before then. Reply here with any questions.
4. Appointment reminder
Reminder: your cleaning with [Business] is tomorrow, [date] at [time]. Need to reschedule? Please let us know by [time], as our cancellation policy requires [X] hours' notice.
Note: Only mention a cancellation fee if it's in your written policy or agreement.
5. Running late
Hi [Name], this is [Your name] from [Business]. We're running about [X] minutes behind because of [brief reason]. Sorry for the delay, and we'll be there by [time].
6. Job finished
All done! Your home was cleaned today by [team]. If anything was missed, reply within [X] hours and we'll make it right. Thanks for choosing [Business]!
7. Review request
Hi [Name], thanks again for having us! If you were happy with your clean, would you leave a quick review? It really helps a small business like ours: [link]
Note: Ask every client the same way. Don't offer rewards in exchange for positive reviews. Many review platforms prohibit that.
8. Rebooking a past client
Hi [Name], it's [Your name] from [Business]. It's been a while since your last clean. Would you like to get on the schedule? I have [day] or [day] open.
Worked example
A prospect texts at 7 PM asking for a price. Instead of drafting a reply from scratch, you paste template 1, change the name and send it in under a minute. They reply with their home details, you send template 2 with two open slots, and they book. The next morning, template 3 goes out with entry instructions requested. Every step used a saved message.

- Always identify your business, especially on the first message.
- Get permission before sending marketing texts, and follow the messaging rules in your area.
